How to set up Inventory Sync in Eselt

Inventory Sync allows you to keep stock quantities up to date between your shop system and connected marketplaces.

In this guide, we use WooCommerce as the shop system and Amazon as the marketplace example. The same setup process also applies to other marketplaces such as eBay, Kaufland and OTTO.

Before you start

Before activating Inventory Sync, make sure that your products have matching SKUs in Eselt, in your shop system and on the marketplace.

Eselt uses the SKU to match products between the connected systems. If you sell products with variants, each variant should have its own SKU. If SKUs are missing, different or duplicated, the stock may not synchronize correctly.

Step 1: Open the Products dashboard

Log in to your Eselt account. After logging in, you will see the main Products dashboard. This is where your products are listed and managed.

Above the product list, you will find the synchronization panel. This panel shows your connected shop system and marketplaces, for example WooCommerce, eBay, Amazon, Kaufland and OTTO.

Step 2: Activate Inventory Sync for your shop system

First, activate Inventory Sync for the shop system that should be used as your main stock source. As en example, we use WooCommerce.

In the synchronization panel, find the WooCommerce column. In the Inventory sync row under WooCommerce, click Off.

After clicking Off, the WooCommerce sync module will open.

Enable the option:

If WooCommerce contains your correct current stock quantities, also enable the option to get the initial quantities from WooCommerce and overwrite the quantities saved in Eselt.

This will import the current stock from WooCommerce into Eselt.

After reviewing the settings, click Accept settings.

Eselt will save the settings and use WooCommerce as the source for your current stock quantities.

Step 3: Activate Inventory Sync for the marketplace

After Inventory Sync is active for your shop system, you can activate it for the marketplace that should receive the stock updates. In this example, we use Amazon.

Go back to the synchronization panel above the product list and find the Amazon column. In the Inventory sync row under Amazon, click Off.

After clicking Off, the Amazon sync module will open.

Enable the option:

After reviewing the settings, click Accept settings.

Eselt will now synchronize the stock quantities with Amazon based on the quantities saved in Eselt.

How the synchronization works

In this example, WooCommerce and Amazon are connected with Eselt through Inventory Sync.

Eselt acts as the central synchronization layer between your shop system and the marketplace. This means that stock changes can be synchronized in both directions.

For example, if the stock quantity changes in WooCommerce, Eselt can update the matching product on Amazon.

If a product is sold on Amazon and the available quantity changes there, Eselt can also receive this updated quantity and synchronize it back to WooCommerce.

This helps keep the stock quantities consistent across both systems and reduces the risk of overselling.

How to check the synchronization status

After activating Inventory Sync, you can check the current synchronization status on the Inventory synchronization page.

You can open this page from the top menu by going to Inventory and selecting Inventory synchronization.

On this page, you can see when the last inventory export took place for each connected marketplace and whether the synchronization is currently active. You can also see when the next inventory sync is scheduled.

If you want to start the synchronization manually, click Start sync now.

The page also shows recent inventory changes and possible issues that require your attention. For example, if Eselt cannot recognize a SKU, the issue will be listed in the table. In this case, check whether the SKU exists and is the same in Eselt, your shop system and the connected marketplace.

After fixing an issue, you can use the available action on this page to apply inventory changes again.

How to check the stock history for a specific SKU

You can also check the stock history for each individual SKU directly from the product list.

To do this, open the product on the Products dashboard. If the product has variants, you will see the variants listed separately, including their SKUs and stock quantities.

In the Stock history column, click Open history next to the SKU you want to check.

This allows you to see the inventory history for this specific SKU. It can be useful, if you want to check when the stock quantity changed or if you want to understand why a specific product or variant has a certain stock value.

For products with variants, make sure to open the history for the correct variant SKU, not only for the parent product.

Setting up Inventory Sync for eBay, Kaufland or OTTO

Although this guide uses Amazon as the marketplace example, the setup works the same way for eBay, Kaufland and OTTO.

First, activate Inventory Sync for your shop system, for example WooCommerce, and import the current quantities into Eselt. Then activate Inventory Sync for the marketplace you want to sychronise.

Common problems

If Inventory Sync does not work as expected, open InventoryInventory synchronization and check whether Eselt shows any issues.

The most common problem is an unrecognized SKU. This usually means that the SKU is missing, different or duplicated in one of the connected systems.

Please make sure that the SKU is the same in your shop system, in Eselt and on the marketplace. For products with variants, each variant must have its own SKU.

If the issue concerns one specific product or variant, open the product on the Products dashboard and click Open history in the Stock history column. This shows the inventory history for the selected SKU.

After fixing the issue, return to the Inventory synchronization page and start the synchronization again.

Best practice

Use one system as your main stock source. In this example, WooCommerce is the main source.

Before activating Inventory Sync for many products, check a few products first and make sure that the SKUs are correct in your shop system, in Eselt and on the marketplace.

When importing the initial quantities from your shop system, make sure that the quantities there are correct. This option can overwrite the quantities currently saved in Eselt.

Inventory Sync in Eselt is configured directly from the Products dashboard. First, activate Inventory Sync for your shop system and import the current stock quantities into Eselt. Then activate Inventory Sync for the marketplace that should receive the stock updates.

In this guide, WooCommerce and Amazon are used as examples, but the same process also applies to eBay, Kaufland and OTTO.

The most important requirement is that your SKUs are unique and consistent across your shop system, Eselt and the selected marketplace.
